PDF Fonts Missing

The Problem

Text in your PDF displays with wrong fonts, appears as boxes or symbols, or looks different than intended.

Why Fonts Go Missing

PDFs can reference fonts by name without embedding them. If the font isn't installed on the viewing device, the PDF reader substitutes a different font. This changes the document's appearance, breaks layouts, and can make text unreadable.

Common Causes

  • Fonts not embedded: PDF created without embedding fonts
  • Partial font embedding: Only some characters embedded (subsetting issue)
  • Font licensing restrictions: Font license prohibits embedding
  • PDF creation software settings: Embedding disabled in export settings
  • Corrupted font data: Embedded fonts damaged in PDF

Solutions

1. Recreate PDF with Embedded Fonts

If you have access to the source file, recreate the PDF with font embedding enabled. In PDF creation software, enable "Embed all fonts" or "Subset fonts" option. This is the best solution for preventing font issues.

2. Install Missing Fonts

If you know which fonts are missing, install them on your system. The PDF will then display correctly. However, this doesn't help other users who don't have the fonts installed.

3. Convert Text to Outlines

For critical documents, convert text to vector outlines (curves). This embeds the letter shapes as graphics rather than text. The PDF displays identically everywhere, but text becomes unselectable and unsearchable.

4. Use Standard Fonts

When creating PDFs, use standard fonts (Arial, Times New Roman, Helvetica) that are universally available. This reduces font substitution issues, though embedding is still recommended.

Checking Font Embedding

PDF viewers can display font information showing which fonts are embedded. In Adobe Reader, check Document Properties > Fonts. Fonts should show as "Embedded" or "Embedded Subset." If fonts show as "Not Embedded," they may not display correctly on all devices.

Prevention

  • Always embed fonts: Enable font embedding when creating PDFs
  • Verify embedding: Check font properties after PDF creation
  • Use embeddable fonts: Choose fonts with licenses allowing embedding
  • Test on different devices: View PDFs on multiple systems to verify appearance
  • Subset fonts: Embed only used characters to reduce file size

Font Licensing

Some fonts prohibit embedding due to licensing restrictions. If a font cannot be embedded, choose a different font or convert text to outlines. Check font licenses before using fonts in PDFs for distribution.

Impact on Accessibility

Missing or substituted fonts can break accessibility features. Screen readers may not interpret substituted fonts correctly. For accessible PDFs, always embed fonts and verify that text remains selectable and readable.
